Questions to Ask When Comparing Event Vendors
Comparing vendors without a consistent set of questions makes the process harder than it needs to be. These questions apply broadly across vendor types — adapt them to the specific category you're evaluating.
Availability and Basics
- —Are you available on [date]?
- —How far in advance do you typically book?
- —How many events do you handle on the same day?
- —What is your service area or coverage range?
- —Do you have a minimum booking requirement?
Pricing and Contracts
- —What is included in your base price?
- —What is not included and what costs extra?
- —What is your deposit requirement and payment schedule?
- —What is your cancellation and refund policy?
- —Do you have a written contract? (Always request one.)
- —Are there any fees not listed in the initial quote?
Experience and Process
- —How long have you been providing this service?
- —Can you share examples of similar events you've worked?
- —What is your process from booking through event day?
- —Who will be the primary point of contact?
- —Who will actually be present or delivering the service on event day?
Logistics and Coordination
- —What do you need from us in advance of the event?
- —When do you arrive and how long does setup take?
- —What happens if something goes wrong on event day?
- —Do you have backup equipment or contingency plans?
- —Have you worked at this venue before? (If applicable.)
Before You Decide
- —Ask the same core questions to at least two vendors in each category.
- —Compare answers side by side — not just price.
- —Trust your communication experience: responsiveness matters.
- —Read any contract carefully before signing.
- —Never rely on verbal agreements for important commitments.
