A Practical Event Planning Checklist

A good checklist doesn't replace a planning process — it supports one. The items below are organized by planning phase and cover the key tasks that apply to most event types. Adjust based on your specific event.

Phase 1: Define the Event (8–12 weeks out or earlier)

  • —Define the event purpose and primary goal
  • —Determine the approximate guest count
  • —Set a target event date (or date range)
  • —Establish a preliminary budget range
  • —Choose the general event format (in-person, virtual, or hybrid)
  • —Identify key decision-makers and who needs to be involved in planning
  • —List the must-have elements of the event

Phase 2: Build the Framework (6–10 weeks out)

  • —Create a planning timeline with key milestones
  • —Finalize the budget with category breakdowns
  • —Begin venue or location research
  • —Identify all vendor categories needed
  • —Start vendor research for highest-priority categories
  • —Draft a preliminary event schedule
  • —Prepare a guest list

Phase 3: Confirm Key Vendors (4–8 weeks out)

  • —Contact and compare venues
  • —Contact and compare catering or food vendors (if applicable)
  • —Contact and compare any entertainment or activity vendors
  • —Confirm and finalize primary vendors
  • —Review all vendor agreements before signing
  • —Send invitations or event announcements
  • —Finalize the event schedule

Phase 4: Organize the Details (2–4 weeks out)

  • —Confirm headcount and finalize guest list
  • —Confirm all vendor arrangements
  • —Prepare day-of event schedule for vendors and staff
  • —Finalize seating or layout plan (if applicable)
  • —Prepare any printed materials or signage needed
  • —Confirm logistics — parking, access, setup times
  • —Review budget against actual commitments

Phase 5: Final Preparation (1 week out)

  • —Confirm all vendor arrival and setup times
  • —Prepare a day-of contact list
  • —Review the event schedule one final time
  • —Complete final checklist review
  • —Prepare any welcome or guest materials
  • —Communicate final details to attendees
  • —Rest — the planning is done.

This checklist covers the fundamentals. Every event is different, and some items may not apply to your specific situation. If you'd like a personalized checklist built around your event, that's something we can develop together through a consultation.
